Event Logistics Coordinator
About the Killebrew-Thompson Memorial:
Founded in 1977, the Killebrew-Thompson Memorial has become one of the leading fundraisers of its kind for cancer research, having contributed nearly $22 million to its two beneficiaries: St. Luke’s Cancer Institute in Boise, and the Masonic Cancer Center, University of Minnesota in Minneapolis. Based in Sun Valley, Idaho, the KTM attracts more than 300 people from across the country to participate in this lively three-day affair. The event consists of a two-day golf tournament, a Cancer in Focus lecture, a live and silent Auction Gala, and the Concert for a Cure benefit concert.
Duties and Responsibilities include but are not limited to:
- Coordinate logistics for events
- Establish and maintain vendor relationships and coordinate details for delivery of services
- Oversee silent auction, from item idea generation to procurement and delivery to winner
- Manage mobile auction software (OneCause)
- Responsible for accurate entry of and updates to donor and volunteer information in databases (OneCause, Little Green Light)
- Support Executive Director with daily administrative tasks including meeting scheduling, follow-up emails, running reports, invoicing, and payable inquiries
- Recruit, train and manage volunteers to assist with event production
- Maintain an open line of communication on current tasks and needs with KTM coworkers
- Ensure office supplies are stocked and ordered when needed.
Essential Skills:
- High-end customer service experience
- Confidence in cold calling to solicit in kind donations from former or prospective donors
- Tech literate. Familiar with databases and Microsoft Office tools.
- Strong verbal and written communication skills
- Detail oriented and is self-motivated
- Ability to multitask and work independently
- Ability to pass a background check.
Desired Skills:
- Prior experience working with nonprofit organizations
- Experience with writing marketing materials (auction item descriptions)
- Experience working with volunteers
- A passion for finding a cure for cancer/connection to the cause
- Non-profit experience
- Can-do attitude and ability to demonstrate grace (and humor) under pressure!
Physical Requirements:
- Event month: expect increased physical activity (moving auction items, office supplies, installing signs, etc.)
- Ability to work multiple days and hours outside the standard work week to effectively run events
- Minimum two work trips per year (Sun Valley in August, Minneapolis in June)
- Ability to lift 30-40 pounds
Compensation & Benefits:
- Salary range: $55,000-65,000 DOE
- Eligibility for annual performance bonus

Location: Hailey, Idaho. This job has the option to be fully remote with mandatory in-person attendance during event times. Travel and lodging expenses will be covered by the organization.
